What is the Local Travel App?
The Local Travel App is a Power App where Library staff may log their local travel and submit for reimbursement.
How do I log travel?
When you open the app, it will open on the home screen. Select + icon to create a new log
Enter all required information. Dates must be in the past.
For location you may manually enter a description, or you may select the hamburger icon to the right to enter in multiple locations, including branch to branch mileage.
Entering Branch to Branch Mileage
If you select the hamburger icon next to Location Description you may enter multiple locations for a single log, including branch to branch and it will total the mileage for you.
For branch to branch, select the branch from the drop downs and then select the + icon. This will add that leg of the trip to the list. Then you may add additional legs. In the first row you may add locations that are not branches, for example, Home to FX.
Once you have finished adding all legs of your trip you may select Add to Log at the bottom of the screen.
Adding documents and maps
You may need to add maps that detail the route and mileage of your trip or additional documents. You can do this by selecting Attach file and adding your documents.
Saving Log
Once you have entered all required information and attached documents, select Save. This will save the log. You may then add additional logs or edit current logs.
Submitting your logs for reimbursement
FSD requires that you submit travel for reimbursement within 10 days after the month of the completion of travel. If you have outstanding travel logs, an email reminder is sent out on the 1st of the month.
Open the app and select Your Logs to select all logs or select them individually. This will activate the red New Submission icon. Select it.
Enter in all required information. To find your Travel Vendor number, log into FOCUS. Once you have a completed submission, the Travel Vendor number will automatically populate.
Authorizer is automatically populated with your direct supervisor. You may change this if the person who authorizes your travel is different from your supervisor.
You may also attach additional files at this stage.
You may review the selected logs by selecting Review Logs.
Once you are ready you may select Submit. This will submit your travel for review by the authorizer. Once the authorizer has reviewed and approved travel then a Docusign document will be automatically created and sent to you by email for signature. If you did not receive an email, you may also log into Docusign with your county login to see if the document is there.
Returned Travel
An authorizer may return a travel submission for various reasons. If a travel submission is returned you will receive an email. You may then open the travel app to review why the submission was returned and make any needed changes or delete the submission.
Approving Travel as an Authorizer
If you are an authorizer of local travel, you will receive an email when staff submit for reimbursement. You will need to open the Local Travel app and navigate to the Authorizer screen to approve travel before the Docusign documents can be created.
After the app opens, select the hamburger icon in the top left. Select Authorizer
You will see a list of submissions awaiting your approval. Select one. On the right of the gallery, you can Approve or Return the submission.
You must approve each log individually by selecting the check mark or X. Please review all attachments and mileage for accuracy. If you approve all logs, select Approve. If you reject any logs, please provide a reason in the text box and then select Return. Staff will receive an email and have the ability to make changes to the logs or submission or delete the submission.
After you the submission a Docusign document is automatically created and then routed to the traveler and you for signature. After you both sign, it is forwarded to Library FSD for review.

The app can be used on a mobile smart phone.
