Request a Polaris account for a new volunteer
Use the following instructions to request a Polaris account for a new volunteer.
Before you submit your request, confirm the following:
▶ The volunteer is newly hired or re-hired to the system.
▶ You know their first and last name, the branch they will be working at, and the task they will be fulfilling (more on tasks below).
If the tasks the volunteer is performing does not require access to Polaris, do not request a Polaris account.
▶ You have an x-ID for the volunteer. This is a county windows login credential that has to be requested and assigned before the Polaris account can be created. Visit this SharePoint site to request a User ID to request an x-ID for a new volunteer.
▶ The person requesting the account is the manager of the new volunteer.
Only managers have permissions to request new Polaris accounts.
Initiate your request
1. Visit the Polaris Accounts form to get started.
2. Select the + New button.
3. For a new volunteer, select the New and Volunteer radio buttons.
4. Select the new volunteer's branch from the Branch dropdown menu.
5. Enter the X-ID in the UserID field.
Ensure the accuracy of the X-ID before submitting your request. Any typos in the X-ID will result in a delay in the account creation.
6. Enter the new volunteer's name in the Select user from the system field.
If the new volunteer's name does not appear in the menu, they may not have been added to Active Directory yet, or they haven't been assigned an X-ID. Place a help desk ticket to resolve the issue.
7. In the Volunteer Task dropdown menu, select the position title of the new volunteer. This will ensure they are assigned the correct level of permissions in Polaris.
Volunteer tasks are separated into two roles:
Picklist/Delivery
Select this if the volunteer is primarily performing check-in related duties involving the picklist or delivery, or performs basic reporting using the Find tool.
Circ/Info Desk
Select this option if the volunteer works a shift at either desk.
8. Enter your own name in the Supervisor Name field.
9. Select Save to submit your request. You will receive an email when your submission is received, and when the new account has been created. From there, a notification will be sent to the library system volunteer manager to enter their password in the VMS system. You will be notified when the password is available to retrieve in VMS.
From VMS, go to the Additional Info tab and select Library.
Then scroll down to the User ID section to view their Polaris leap password.
