Saving Personal Documents - Desktop, Documents, Photos and Favorites

Please save all documents to your OneDrive account(personal drive), S drive (shared drive accessible by all staff), or to your branch team site. Documents saved to the C drive or desktop are not backed up and can be lost if a computer breaks or is reimaged. On the other hand, documents saved to the team site, OneDrive or S drives are accessible on any computer you sign in on, are backed up nightly, and can be restored if accidentally deleted through an ESMP ticket.

Be sure to save any documents, desktop shortcuts, and favorites stored on shared machines such as service desks and holds processing computers.

In addition to saving documents in your OneDrive account, please make sure the account is fully synced. The Cloud icon in your task bar should say that OneDrive is 'Up to date':

Open your OneDrive account.

  • Right click inside the drive to create a New folder. Name your new folder Backup along with the date. Example: Backup 10-01-2021.
  • Locate data in these potential folders:
    • Desktop - C:\Users\User Name\Desktop
      You may wish to take a screen shot of your desktop to easily recreate its layout.
    • Documents C:\Users\User Name\Documents
    • Pictures - C:\Users\User Name\Pictures
  • Copy data
    • Open the folder you want to backup.
    • Press Ctrl+A to highlight all of the contents and Copy.
  • Paste data to OneDrive:
    • Open OneDrive and paste the contents to the backup folder.
  • Once PCs are replaced, copy and paste Documents and Pictures back to the C drive at C:\Users\User Name\Favorites on service desk and personal PCs.

Staff Network Printers

Record the staff network printers on your device so you can add them to your new machine.

Signage

Fill out Replace\ReImage Signs for each machine being replaced.

  • List the PC name (WORK01, etc.) and the name of person who uses it.
  • List all printers that the machine prints to. You don't need the whole name, just Info01, Work03, etc. It is particularly important to include EPSON receipt printers.
  • If you have Exception Waivers for any special software installed on workstations please have your installation disks readily available and clearly labeled so the Upgrade Team can install the software. DIT informed us we could only have as many installs as we had original CDs of the software.
  • Write down any software required for your branch camera so you remember to reinstall it.

Installation Day

  • Once DIT is gone, problems that Tech Team reps cannot solve require a ticket through ESMP.
  • Restore Favorites and desktop shortcuts.
  • Verify that your backroom networked copier is the default printer on staff machines. Add any additional printers by typing Run in the search box in the bottom left and typing or pasting the address of each printer.
  • Update the hardware inventory as soon as possible. It is essential to have an up-to-date list of serial numbers for branch equipment. Please note that for replacements, only the serial number and model number of the machine need to be noted in the branch inventory file. Monitor serial numbers do not need to be recorded. Receipt printers and barcode scanner serial numbers also need to be recorded.
